About the Role:

Client Specialist - Executive Assistant (EA) Wage Information - $20.00-$24.00/hr

The Client Specialist - Executive Assistant has a key role in helping to keep our Client CEOs organized, efficient, and moving forward. In this role, you will work closely with Client CEOs to support them with tasks such as CRM pipeline maintenance, running small projects and potentially acting as gatekeepers of the CEO’s time. Of course, you will have daily meetings with the CEO to help organize them and direct them to where their attention is needed most, assist with travel planning and coordination, and help wrangle and manage email (including direct follow-up on emails) and the calendar. As for business development, support is needed in research, moving deals along the sales process/pipeline, and reaching out to those who have not placed an order in a while.  The Client Specialist - Executive Assistant must be a positive and energetic self-starter and problem solver who is comfortable taking the initiative and exercising their judgment to manage and execute the work of the CEO.  

In all aspects of a Client Specialist - Executive Assistant's daily work, we expect that they will foster an environment that is engaging, supportive, and thoughtfully straightforward. This will also be a role where there may be significant interaction with clients or potential clients with respect and professionalism, including doing any research in advance of proposing any solution or answering client questions.  We also expect the Client Specialist - Executive Assistant to use their curiosity and experience to think creatively about any possible ways to propel our Client’s business forward.

The Client Specialist - Executive Assistant must be process-based and proactive in pushing the CEO to handle important tasks. 

This is a part-time, non-exempt position and may require weekend work if there is a weekend board or advisory board meeting.

Further Details:

  • This role is a lead’s level role with required close communication and collaboration with Client company management. The Client Specialist - Executive Assistant will meet daily with the Client CEO to talk through challenges and sales opportunities. The Client Specialist - Executive Assistant will prepare for these meetings by being ready to discuss pertinent topics such as:
    • Deliverables
    • Project statuses
    • Client issues
    • Business development opportunities
    • Preparation for internal meetings
  • The Client Specialist - Executive Assistant will likely help the Client CEO specifically in the following ways:
    • Email management - clean up, blocking/unsubscribing, filtering, starring important items
    • Calendar management - setting up meetings 
    • CRM sales pipeline maintenance
    • Sending out sales emails
    • Following a sales process
    • Mail - filing and pointing out actionable mail
    • Preparation for internal team meetings
    • Travel planning and coordination
    • Preparation for presentations and pitches
    • Client development work as requested
  • The Client Specialist - Executive Assistant will document their work so that we have good operating procedures around the work based on the training provided.
  • Perform other duties as requested.
Qualifications and Requirements:
  • Fluency in oral and written English; second language is a plus
  • Dedicated and dependable work ethic
  • Keen problem-solving skills, and the ability to think on your feet
  • Strong active listening skills
  • Self-starter
  • Detail-oriented
  • Stamina in problem-solving, and the ability to maintain a positive attitude even on a tough day
  • Computer skills, including familiarity using multiple browsers, tabs, window navigations, and instant messaging tools. 
  • Experience with CRM systems is a must
  • CRM experience is a must
  • Quiet, distraction-free workspace in your home that includes a door that closes
  • Direct connection from computer to router/modem via Ethernet cable (no satellite or wireless Internet (WiFi))
  • You must have a minimum download speed of 50 Mbps and a minimum upload speed of 5 Mbps from a reliable provider to run our platforms.
To ensure the security of client data, team members may NOT use satellite or public network connections. Depending on the team, VPN may not be allowed.
